Yes — our largest single group to date was 180 participants. For groups of this scale, we deploy: 4–8 coaches plus support vehicles, 8–10+ English-speaking guides, a senior program director who travels with the group, pre-blocked hotel rooms at 2–3 properties, exclusive restaurant reservations, multiple simultaneous attraction entry slots, and a real-time operations center managing logistics. What makes large groups work is pre-planning — we begin vendor negotiations 3–4 months ahead for groups over 100.

We use Stripe for all payment processing — we never see or store your card details. The payment schedule: 30% deposit due when you confirm your itinerary (locks dates and starts vendor booking), 70% balance due 30 days before travel. For enterprise groups (100+ people), we can also issue a formal invoice for ACH bank transfer. Refund policy: full refund if cancelled 45+ days before travel; 50% if 15–44 days prior.

For groups of 11–50 people: within 24 hours. For larger groups (51–200): 48 hours. The proposal includes: full day-by-day itinerary for each city, itemized cost breakdown, vehicle plan (types, sizes, number), hotel options (3 tiers), guide assignment plan, and attraction permit schedule. You can request unlimited revisions before approving — we don't charge until you're fully satisfied.

We actively accommodate both. Our pre-trip participant questionnaire collects mobility needs, dietary restrictions, medical conditions, and physical fitness levels for every group member. We then: route vehicles with accessible boarding, book hotel rooms on lower floors with accessible bathrooms, choose restaurant menus with vegetarian/vegan/halal/kosher/allergy options pre-confirmed, and brief guides on each participant's specific needs. Groups with wheelchair users are welcomed — we've managed them successfully in Beijing, Shanghai, and Xi'an.

Yes — each participant obtains their own Chinese tourist visa (L-visa). ChinaWithEase provides a group visa guidance package that includes: a step-by-step application guide customized for your group, a document checklist, consulate location recommendations by home state, and a processing timeline to ensure all visas arrive before travel. For educational groups, we coordinate with the Chinese consulate for group visa processing where available. The visa process typically takes 4–7 business days and costs ~$140 per person.

Our embedded coordinator handles emergencies in real time. We maintain: a list of English-speaking hospitals in every city on your itinerary, relationships with medical evacuation providers, backup transportation for medical situations, and direct lines to the US Embassy/Consulate in China. We strongly recommend all participants obtain travel insurance with medical evacuation coverage ($250,000+). For groups, we can recommend plans that cover the entire group at reduced rates. In 500+ travelers managed, we have zero unresolved medical or emergency situations.

Yes — we coordinate factory visits, supplier meetings, and business site tours alongside cultural programming. We work with trade mission groups regularly, arranging: factory floor access and safety briefings, interpreter services for business meetings, logistics to industrial zones outside major cities, and business-appropriate dining with local counterparts. We also coordinate with the US-China Business Council and relevant trade associations when applicable.
